Accessing as another user
Access As allows administrators, project managers, and project manager assistants the ability to access the Home experience of other users for troubleshooting and management. While accessing as another user they are able to see that user's list of tasks and reports on Blue Home and in some situations can even view reports and complete tasks on behalf of that user.
Access As does not give an administrator full access to another user's account. In fact, when accessing as another user, the admin will not be able to access the user's profile, nor will they be able to view tasks or reports that they wouldn't be able to access through task management or report management.
All actions performed using the Access As feature are logged for security and auditing purposes. This includes logging the initiation of the feature, task completions, and report views. The log retention period can be configured to meet organizational policies, where the default period is six months. To increase or decrease this period, contact Explorance support.
- When enabled all Administrators, project managers and project manager assistants will be able to use access as.
- The user profile is not accessible when using access as.
- More than one user can be accessed as at the same time.
- A blue banner indicates viewing while an orange banner indicates editing.
- All actions performed while in access as are logged.
Enabling Access As
- To activate Access As for your environment, please contact support@explorance.com. Once enabled, all administrators, project managers and project manager assistants will be able to use the Access As feature.
- Navigate to Record management as an administrator, project manager, or project manager assistant.
- Select a user datasource.
- Open a user record in record management.
- Select the Access As button. A new browser tab will open up to that user's Blue Home.
Who has access to access as
Access As will be available to all users with the Administrator, Project Manager, or Project Manager Assistant roles in Blue.
What can access as do
- Blue Home - able to view a users home just as they are able to see it.
- Blue Tasks - able to view a users entire task list, but can only interact with tasks that you would normally be able to open from Task management.
- Blue Reports - able to view a users entire report list, but can only interact with reports that you would normally be able to open from report management.
- Response Rate Monitor
- Blue Dashboard - (not available to project managers or project manager assistants)
Is there a record of what i did while using access as
All activities performed while Access As is being used will be recorded in an activity log that is maintained for one year. Activities that are logged while using Access As to see what a user can see include:
- Using Access As
- Viewing Blue Home
- Downloading a PDF report
- Downloading a CSV report
- Opening an HTML report
- Viewing the report list
- Viewing the task list
- Opening a task
- Updating a task
- Completing a task
