Distribute to static report viewers

Users in the Static Viewers of Reports - Viewers are able to view the report during the distribution period. Report viewers are only required if the report is restricted to a private audience. When the Audience setting in Reports - Info - General is Public or None, report viewers are unnecessary and Reports - Viewers will be disabled.

Individual and Group by reports may be Distributed. By choosing to create a distributed report each child report composed of a subject or subject/secondary subject pair will have a unique viewing list. If the report is not distributed there will only be one list of report viewers.

Several shortcuts exist below the list of Available Reports to quickly add or remove report viewers.

NOTE

The group with report viewing privilege must be populated in the project before it can be populated in the report .

  1. Select Group and Populate - The Select Group drop-down list and Populate button work in tandem to add all report viewers in the selected group to all of the available reports.
  2. Populate All - Populates all Available Reports with report viewers from all groups listed in the Select Group drop-down list.
  3. Remove All - Removes all report viewers from all Available Reports. This includes report viewers that were added manually from the datasource.

Automatically update static report viewer groups

An option labeled Automatically update static report viewer groups located in report - viewers - static viewers will automatically update the list of static report viewers for each of the available reports by removing any members that are no longer part of the group. Enabling this feature will also automatically remove any static report viewers that were added manually from a datasource. This option can be enabled on a group by group basis (i.e. one group can be automatically updated while another group is not).

By enabling this feature, you may be affecting who can see the report automatically. This may lead to unintended users being able to view the report, or some users no longer being able to view the report.

BEST PRACTICE

When reporting has concluded, make sure that notifications are no longer sent, and that the data in the report no longer changes by going to the report, and selecting Publish. Then, set a Stop Sync Date that is the same as, or later than, the Expiry Date.

Impact of static viewer removal

An option labeled Impact of static viewer removal located in report - viewers - static viewers.

  • No Effect - all data remains the same. Removing a static report viewer from the report does not prevent that report viewer from accessing the report.
  • Stop Report - if the static report viewer is removed, the report will no longer be accessible to that static report viewer.

Reports - Viewers - Static Viewers Export/Import

Existing static report viewers can be exported to a CSV file while additional static report viewers can be imported via a CSV file from Reports - Viewers - Static Viewers Export/Import.
