Publish a project
Publishing is the final step in creating a project. Upon publishing a project, end user tasks become active, email notifications are sent and data collection can begin.
Project Start Date
Before this date, no automatic emails, invitations, or reminders will be sent.
Project End Date
After this date, automatic emails, reminders and invitations will no longer be sent.
Questionnaire Preview
Displays the questionnaire as it will appear to end users. Public projects only.
Test Email
Sends a sample invitation email to the address entered. Confirm the email is appropriate and the links are functional before continuing.
Validate
Projects must be validated before they can be published.
- Projects must be validated prior to publishing.
- Validating saves the project.
- Validating the project is used to identify warnings and errors with the project.
- Projects with errors cannot be published and will display a message of "There was an error in publishing the project."
- Common errors include:
- No questions have been added to the questionnaire.
- No subjects have been selected.
- Task start, end and reminder dates are not set correctly.
- The Fillout task invitation email does not contain a link to the questionnaire.
- Question personalization is enabled but the questionnaire does not contain any personalized questions.
- The Rater selection task is enabled but no group is assigned.
Pre-publish
This is an interim step that means the project is awaiting approval to be published. This feature is particularly helpful for delegating project setup when used in conjunction with the ‘Project Manager Assistant’ role.
The project manager or an administrator can bypass pre-publishing the project and directly publish instead. The project assistant can only pre-publish a project, essentially declaring it ready for review by a project manager who is able to quickly review the project settings and publish the project with minimal effort. Pre-publish is only available if the project successfully validates.
Publish
Only available if the project successfully validates. Only available to project managers and administrators, publishing a project cannot be undone. Upon publication, email notifications are sent, tasks are assigned and data is collected.
Export Summary
Generates a CSV file that contains a list of subject and secondary subjects, along with the start and end dates of the Fillout task. The list of subjects and secondary subject may change based on a few settings:
- If the subjects and secondary subjects are marked as automatically update for the project than they should match the datasource
- If the project has not yet been published then they should match the datasource
- If the project is expired then updates to the datasource will not update the project
Display Link
- Only appears after publishing a project with a public audience.
- Generates up to two URLs. A public URL (without authentication) that anyone can access and a private URL (with authentication) that only Blue users can access.
- The generated URLs can be distributed through email or via other methods so that people can access the questionnaire.
