Batch print forms and reports
The desktop tool PDFBatchPrint.exe, allows the user to batch print PDF files such as forms and reports. “Batch printing” allows the user to print all the PDFs with one click of a button, rather than printing them out one at a time.
Contact your Explorance Account Manager to obtain the PDFBatchPrint utility.
If you are batch printing forms for a manual fill out (survey, questionnaire or evaluation that is printed out and filled in by hand), you can only batch print user-defined forms.
Before using PDFBatchPrint.exe and the Batch Print functionality within Blue, Adobe Reader, a free PDF reader available from https://www.adobe.com, must be installed.
Follow these steps to batch print your forms and reports:
- Open PDFBatchPrint.exe
- If this is the first time using PDFBatchPrint, then you must select the correct printer from the list of available printers displayed.
- Click Locate and find the Adobe Reader executable file located on your computer.
- Place a check in the Use batch print config file checkbox.
- Click Load Batch Print Config to find and load the batch print configuration file.
- Verify that the folder shown in the PDF Files Storage Folder box contains the forms and reports you are printing, if not, click Change PDF folder to modify.
When you download the printable forms or reports, the batch print configuration file is automatically created, as shown in the illustration below.
- If you do not have a BatchPrintConfig file, you can specify a folder containing all the PDF files that need to be printed.
- Uncheck Use Batch Print Config File (if it is checked).
- Click Change PDF Folder, and locate the folder with all the PDF files. All of the PDF files in that folder will be loaded into the print list.
- If necessary, click Change Copies to change the print copy numbers for each PDF.
- Verify all settings, then click Start Print to begin the printing process.
The PDFBatchPrint tool will now verify that the print settings for the selected printer can be modified. If not, a warning will appear, and then you must:
- Open Devices and Printers found in the Microsoft Windows Control Panel.
- Find the target printer.
- Modify the settings. Verify that the paper orientation and paper size for the printer are the same as the PDF.
- Return to the PDFBatchPrint utility and check Set printer configuration manually.
- Click Start Print again.
