Modify task dates

Once a project is published, the tasks are created with the dates set, whether those dates come from a fixed date or are from date fields in the datasource. Detailed in this topic are different ways you can update task dates once a project is published.

IMPORTANT
  • Updating the date fields in the datasource, even for a project that is set with automatic update, will not change the dates of already published tasks.
  • Updating the project tasks schedule will have no impact on the already created tasks.
NOTE

If you need to update the evaluation date of subjects, you might need to update tasks as well. Consult the following topic for more information: The difference between dates in manage - subjects and manage - tasks

IMPORTANT

Task start dates will never be in the past when using subject addition logic.

Updating task dates through Project Management - Tasks is the best way to update all task types in bulk.

  1. Go to Projects and manage your project
  2. Navigate to Tasks.
  3. Locate the Task List search filter conditions
    1. To modify all tasks from all task types, leave the filters empty
    2. To modify a single task type, select Field: Task Type - Operator: Is - Task Type (e.g.: Fillout, Subject Management, Question personalization)
  4. Select Add Filter
  5. Select the Task Actions drop down menu and choose Set dates
  6. Update the Start date and End date accordingly and select Apply

Subject management

If the project has Subject management (SM) tasks with Evaluation timing authority, the SM task owner can modify Fillout tasks on their own. SM task owners need only to follow the task link sent to them to update the fillout task dates.

NOTE

This method only affects Fillout tasks. Other task types (including SM tasks) need to be modified through Manage - Tasks, as detailed above.

Evaluation Timing Condition

The evaluation timing condition allows you to set a deadline condition based on different variables. It is possible to use this function to update a project's Fillout tasks.

IMPORTANT

Update the course evaluation start date and end date in the datasource before starting this process. For more information on updating a datasource, consult the following topic: How Do I Update the Datasource for a Published Project?

NOTE

This method only affects Fillout tasks. Other task types (including SM tasks) need to be modified through Manage - Tasks, as detailed above.

  1. Go to Projects and edit your project
  2. Navigate to Info - Advanced Settings
  3. Locate the Evaluation Timing Condition section
  4. Enable Deadline Setting
  5. Next to If number of fill out tasks is less than, set the field to 100 in Percentage. It is very unlikely that 100% of the Fillout tasks have completed at this point in your evaluation process. However, should that be the case, you will have to use a different method.
  6. Set By the following date to today's date. This will allow the project to push the new dates to the published tasks once the project is saved.
  7. Under Then, set the evaluation to launch automatically within the following time frame , set the following:
    a. Set fillout start date is + 0 days from **Course Evaluation Start Date **(select the name of the start evaluation date field from your datasource)
    b. Set fill out end date is + 0 days from Course Evaluation End Date (select the name of the end evaluation date field from your datasource)
  8. Save project - by doing so, you will push the new dates to the published tasks
  9. Verify that the fillout tasks have been updated correctly
  10. Go back to Info - Advanced Settings, disable Deadline Setting, and Save Project
BEST PRACTICE
  • If new subjects are going to be added to the project, which will generate new tasks in return, edit the project, go to Tasks, and change the dates of the Fillout tasks.
  • If you delegated the ability to change the evaluation schedule to end users, you might want to extend the valid date range they can perform this action. To do so, edit the project, go to Tasks, Edit the SM task type, go to Task Configuration, and modify the evaluation scheduling options.
