Manage a published project - Overview

After publishing your projects and reports, you can move on to supporting the ongoing feedback process. Blue offers many features that will help you monitor responses.

Task management

Individual tasks are created for each participant in the feedback process after a project is published. These tasks can be managed through the project's task management screen. From here, you will be able to:

  1. Stop and start individual tasks or groups of tasks
  2. Delete and undelete individual tasks or groups of tasks
  3. Unsubmit tasks on behalf of your end users (e.g. make the tasks active again, while keeping responses already entered)
  4. Reset tasks on behalf of your end users (e.g. make the tasks active again, while removing any responses already entered).
  5. Re-send emails
  6. Investigate email statuses
  7. Change the dates of already published tasks - tasks will start and end according to the dates that were configured when setting up the project. If you need to change the dates for when tasks can be completed, Task Management allows you to do so.

Subject management

You can also manage the feedback process at the individual subject level, by managing the set of subjects that are under evaluation in your feedback project. Here, you will be able to:

  1. Stop and start all tasks related to a particular subject or group of subjects (depending on the filters you’ve applied in the subject management screen)
  2. Delete and undelete subjects from the project
  3. Change the dates for the Fillout tasks of a particular subject or groups subjects
  4. Update the subject data directly in the project using Export/Import subject details
  5. Further configure what can be changed by those participants with Subject View or Subject Management privileges

Subject View (SV)

Members of the SV group can view the response rate of relevant subjects when viewing their SV task. Consult the following topic for more information on group privileges: Assign or modify group privileges.

Subject Management (SM)

Exactly like the SV group privilege, Subject Management (SM) group members obtain a link to view subjects and response rate data. Additionally, SM allows members to modify scheduled evaluation dates and opt-in or out of evaluations, if configured. Consult the following topic for more information: Subject management (SM) task.

Field management

Field Management lets you synchronize changed data in the subject datasources and rater datasources to the project.

Response management

Project managers, assistants, and administrators can import responses from a CSV file, paper questionnaires, or export the raw response data and response analytics data. The response table contains basic subject information (ID and Name) and rater demographics combined with the responses for each rater.

From Response Management, you can do even more than basic Export/Import of responses. Here, you can export your responses to include scores instead of captions, only export certain sets of questions, and include Personalized Question or question bank responses. You can also choose to include more subject demographics than are possible in the basic response export.

Response Rate Monitor

The Response Rate Monitor provides the tools necessary for all levels of the organization to engage in monitoring ongoing evaluation projects, analyze the level of response, and act to achieve response rate targets. See the following articles for more information:

Managing reports

Managing the report will allow you to:

  1. Stop or stop access to the report
  2. Resend the invitations to the report viewers
  3. Set new dates during which the reports are available.

Blue Portal Integrator (BPI) and SM

Response rates can also be monitored from within an LMS if the Blue Portal Integrator (BPI) is being used with Blue. Create an SM block using the Blue Portal Integrator and insert it into your LMS (or any portal).
